Integration Description
The Okta integration gives Zapro AI SAML 2.0 or OpenID Connect single sign-on together with SCIM provisioning, so Okta creates, updates and deactivates Zapro AI users and pushes the groups that decide procurement and approval permissions.
What the Okta integration does
- Leavers lose procurement access the same day
- Role assignment stops being a side task
- One login, and an audit trail that matches
How your records stay in sync
Skip the double entry. Zapro AI keeps these records matched with Okta, so no duplicates are created and your data stays centralized.
How the connection is set up
- Add the Zapro AI application in Okta
- Turn on provisioning with the SCIM endpoint
- Choose the provisioning actions
- Map attributes and push groups
- Assign a pilot group and run it
- Test the full joiner, mover and leaver cycle
How teams use it
- StartupNew hires get the right Zapro AI role from their Okta group on day one, and nobody keeps a spreadsheet of who has access.
- SMBGroup membership in Okta is the access review, and the Zapro AI audit trail shows exactly which identity approved each order.
- EnterpriseDeactivation in Okta removes procurement access the same run, and department attributes default the cost coding for every entity.
How Zapro AI works with Okta
Procurement
Applies the approval limits attached to each provisioned role when a request is raised.
Vendor Management
Restricts who can see or edit vendor records and compliance documents, based on the Okta group a user belongs to.
Contract Management
Keeps contract access and version history scoped to the roles provisioned from Okta, with a full audit trail.
Spend Analytics
Shows each user only the spend for the departments and locations their role allows.

Questions teams ask
What is SCIM provisioning, and how does Okta use it with Zapro AI?
SCIM is a standard REST interface for an identity provider to create, update and deactivate accounts in another application using a shared user schema. Okta sends attributes such as userName, given name, family name and active status to the Zapro AI SCIM 2.0 endpoint, and pushed groups set the Zapro AI role and approval limit.
Do we need Okta Lifecycle Management?
For automatic provisioning and group push, yes. Single sign-on alone will authenticate users, but accounts and roles then have to be created in Zapro AI by an admin, which defeats most of the reason for connecting the two.
What happens to approval history when a user is deactivated?
The account is deactivated and the session ends, but the record stays. Approvals, comments and order history keep the user's name so the audit trail of who approved what remains complete.
What does Zapro AI receive from Okta, and how is it stored?
Only the attributes you map, normally username, name, work email, employee number, department and group membership. No procurement data leaves Okta. Data at rest is encrypted with AES-256, the SCIM bearer token is stored encrypted, and every provisioning event is written to the audit trail.
Can we use Okta for login but manage roles in Zapro AI?
Yes. Run single sign-on without provisioning and keep the role assignment in Zapro AI. Most teams move to group push within a quarter, because manual role assignment is where access reviews start to fail.
