Integration Description
The Salesforce integration connects Zapro AI to Salesforce objects such as Account, Opportunity, Order and Contract, so a won deal can raise the purchase requests it needs and the committed cost is written back to the record that caused it.
What the Salesforce integration does
- Delivery buying starts when the deal closes
- Cost sits next to revenue
- One company list, two roles
How your records stay in sync
Skip the double entry. Zapro AI keeps these records matched with Salesforce, so no duplicates are created and your data stays centralized.
How the connection is set up
- Create a connected app in Salesforce
- Set the OAuth scopes and the integration user
- Create the write back fields
- Decide which accounts are vendors
- Run one deal end to end
How teams use it
- StartupEach won deal raises its subcontractor requests in Zapro AI, and spend against the project is visible on the opportunity.
- SMBOrder lines generate purchase requests, and invoiced cost is written back to the order, so job margin is current rather than reconstructed.
- EnterpriseAccounts are linked to vendor records with compliance documents attached, and spend reporting separates by business unit while the company view stays single.
Automate Salesforce with Zapro AI
Procurement
Raises purchase requests against a won deal and routes them through role based approval.
Vendor Management
Holds onboarding templates, compliance documents and performance history for accounts that are also suppliers.
Contract Management
Keeps customer and supplier contracts, versions and renewal alerts in one repository with an audit trail.
Spend Analytics
Reports committed and invoiced cost by deal, vendor and category against the revenue the deal carries.
Zapro made procurement effortless with a user-friendly interface and stellar support. Our team and suppliers adapted quickly, and we're now seeing faster approvals and smoother collaboration.
Questions teams ask
Does Salesforce do procurement?
No. Salesforce manages accounts, opportunities, orders and contracts, but it has no purchase requests, vendor onboarding, invoice capture or three-way matching. Teams add procurement by connecting Salesforce to a procurement platform over its REST API, which is what the Zapro AI connection does.
What Salesforce edition do we need?
One with API access. That is Enterprise, Unlimited or Performance, or Professional with the API add-on. Without API access the only route is scheduled file exchange, which loses the write back of cost onto the record.
How does Zapro AI authenticate to Salesforce?
Through a connected app using OAuth 2.0. For unattended syncing the JWT bearer flow with a certificate is preferred, because it avoids storing a user password and survives password rotations.
What can the integration user see?
Only what its profile allows. Scope it to the objects and fields in the mapping, not to an administrator profile. On the Zapro AI side, access follows role permissions, data is encrypted with AES-256, and every sync is written to the audit trail.
Will this create duplicate accounts or vendors?
It can, if AccountNumber is empty. Populate it before the first sync and use a record type or checkbox to mark which accounts are suppliers. Unmatched records go to a review queue rather than being created automatically.
