Managing user access in Xero is essential for smooth operations. Here’s a guide on how to invite users, assign roles, and manage permissions effectively in your Xero account. 

1. Invite New Users to Xero

To add a new user: 

  • Go to Settings and select Users. 
  • Click Invite a User to add someone new to your Xero account. 
  • Enter the user’s email address and assign their role, like Xero Accounts Payable or Standard User.

 

2. Assign Roles and Permissions in Xero

Xero provides flexible options for assigning roles, including Invoice Only, Standard User, or Advisor. You can customize permissions based on user roles: 

  • Allow users to submit Xero recurring invoices, manage Xero financials, or access the Xero dashboard. 
  • Set limits on whether users can view Xero sales tax reports, inventory management Xero functions, or access specific Xero expense tracking features. 

 

3. Manage Existing Users in Xero

To update permissions or manage users: 

  • In the Users section, view a list of all active users with access to your Xero account. 
  • Select a user’s name to adjust roles or update access to features like Xero budgeting and forecasting and Xero multi-currency. 

 

4. Remove Users from Xero

If you need to remove a user: 

  • Go to Users, select the individual, and click Remove Access.
